Step 1 — Download Template

Purpose​

You start every new submission by:

  1. Setting the reporting period the submission covers.
  2. Downloading the latest BTR template.
  3. Filling it in your spreadsheet tool of choice.

Who can use this step​

Submitter (own entity) and Administrator.

Step-by-step​

1. Open the screen​

In the sidebar, click Submit Data.

You are on Step 1, Download BTR Template. The progress strip at the top shows the four steps.

2. Enter the reporting period​

Type the reporting period into the Reporting Period field. The format is two years separated by a hyphen, for example:

  • 2025 - 2026
  • 2024 - 2025

This locks the submission to a specific BTR cycle.

3. Click Save and Continue​

KCFIS creates a new submission record (status Draft) and unlocks the Download Template button.

4. Click Download Template​

KCFIS opens the latest BTR template in a new browser tab and triggers a download. Save it somewhere convenient. KCFIS automatically advances you to Step 2 a moment later.

Expected result
  • A new row appears on the Submissions list, status Draft, with the reporting period you entered.
  • The template Excel file is in your Downloads folder.
  • You are now on Step 2, Upload & Validate.

Filling the template offline​

Open the template in Excel (or LibreOffice/Numbers/Google Sheets). It contains all required columns and built-in helpers (currency conversion, validations). For column definitions and option values, see the BTR Template User Guide on the Support page.

A few rules that catch out first-time users:

  • Enter values in either Amount_Committed_USD or Amount_Committed_KES. The template auto-calculates the other column.
  • Climate_Marker_Mitigation, Climate_Marker_Adaptation, and Climate_Marker_Cross-cutting accept only 0, 1, or 2.
  • Financial_Instrument, Climate_Use, NCCAP_Sector, and Channel accept only the values listed in the BTR Template User Guide.
  • Do not rename or re-order columns. KCFIS matches columns by name.
