Accounts and access
How do I get an account?
Either an administrator creates one for you (preferred), or you self-register if your deployment allows it. See Registering an account.
I forgot my password.
Use the Forgot Password? link on the login screen — KCFIS will email you a 6-digit code. See Resetting your password.
Why am I being asked to change my password right after signing in?
Either an administrator created your account with a temporary password, or your password was reset. See Forced password change.
My session keeps expiring.
KCFIS refreshes your session silently in the background. If a session genuinely expires, you signed out elsewhere or the refresh token expired. See Sessions and timeouts.
I can see most screens but cannot edit anything.
Your role is probably User. Ask an administrator to update your role to Submitter or Reviewer as appropriate.
Submissions
Where is my draft?
Open Submissions and filter by Status = Saved or Validation Failed. Click Continue Editing.
My upload says "Validation Failed" with many errors. Did I lose my data?
No. KCFIS stores everything; you fix errors in place in Step 3 — Repair & Commit. You should not need to re-upload unless the file structure was wrong.
Can I re-upload a different file to overwrite an existing submission?
In general, no — to keep audit history. Either fix in place, or create a new submission and discard the old one (administrators can help if needed).
What does "Locked" mean?
The submission is final. Its data feeds the Dashboard and is selectable for reports. It cannot be edited any more. To change locked data, contact support.
Why does the Dashboard show smaller numbers than I expect?
Only Locked submissions count. Anything in draft, validation, review, or rejected does not contribute.
Reports
Which BTR table should I generate?
- 7A — Financial Support Provided for direct contributions.
- 7B — Financial Support Mobilised for finance you helped catalyse from other sources.

Can I include several entities in one report?
Yes. On Submissions, tick multiple Locked rows and click Generate Report (N).
Where do generated reports go?
To the Reporting list. They stay there until an administrator removes them; you can re-download any time.

Where do I get the template?
From Step 1 — Download Template or from the Resources card on Support.
What columns does KCFIS expect?
Can I rename columns?
No. KCFIS matches by column name. Renaming will cause every row to fail validation.
