Role-based quick paths
A printable cheat sheet for the four KCFIS roles.
Submitter
Your job is to get accurate BTR data into KCFIS for your entity.
- Sign in — see Logging in.
- Open Submit Data — sidebar Submit Data.
- Step 1 — Download Template — enter the reporting period; download the template; fill it offline. See Step 1.
- Step 2 — Upload & Validate — drop your file in. See Step 2.
- Step 3 — Repair & Commit — fix red cells until the error counter is zero; click Submit for Review. See Step 3.
- Wait for review — track on Submissions (status In Review → Approved by Reviewer → Approved → Locked).
- If rejected, click Continue Editing, address the comments, and resubmit.
Reviewer
Your job is to do the first approval on submissions for your entity.
- Sign in.
- Open Submissions — filter by Status = In Review, your entity.
- Click Review on a row.
- Inspect the data — substance check, not validation (already passed). See Approving as a reviewer.
- Click Approve (with comment) or Reject (with mandatory comment).
- (Optional) Track all sign-offs on Approvals.
Administrator
Your job is to do the final approval, finalize, and run reports.
- Sign in.
- Final approve — Submissions filter by Status = Approved by Reviewer, click Review, then Approve or Reject. See Approving as an administrator.
- Finalize — Submissions filter by Status = Approved, click Finalize.
- Generate reports — Submissions filter by Status = Locked, tick rows, click Generate Report (N). See Generating a report.
- Manage users — sidebar User Management, Invite New User or Make Admin. See User Management.
- Manage entities — sidebar Settings. See Managing entities.
User (read-only)
You can:
- See the Dashboard, Submissions, Approvals, and Reporting lists.
- Click View on Locked submissions to read the data and approval history.
You cannot:
- Create or edit submissions.
- Approve or reject.
- Generate reports.
- Manage users or entities.
If you need to do any of those, ask an administrator to update your role.
